Mail Center
The mail center at Duplicating prepares mailings for both on-campus and off-campus distribution. Services include electronic data import and CASS certification of mailing lists, ink jet bar-coded addressing, printing and applying labels, tabbing, inserting, and bundle, tray and tag. Mailing lists can be emailed to mailctr@pso.siu.edu. Instructions for list preparation can be found by clicking here.
Automated Mailings
Through the use of CASS (United States Postal Service certified software) certification of addresses, mailings can meet automation requirements to receive discounted postal rates for both standard (third-class) and first-class. Discounts apply to bulk mailings only. Minimum requirements for automation are 200 pieces for standard and 500 pieces for first-class. This process allows us to send a standard mailing for around 10 to 15 cents per piece for postage and a first-class pre-sorted mailing for around 25 to 30 cents per piece compared to 41 cents per piece at normal first class rates. Our software also supplies us with move updates. If someone on your mailing list has moved and filed a change of address with the post office, the move update will automatically replace the old address with the new one. We will print out a report of these changes and return it to the customer in order to update the database. The software also cleans up the mailing list and provides a printout of addresses that are not correct by the USPS standards for future list management.
Mail-list Management Service
The Mail Center is equipped to maintain computerized mail-lists for its customers. Call the Mail Center for details on how to have a mail-list created and maintained.
Standard Mailing Lists Available
The following standard mailing lists can be attained through the Mail Center in pressure-sensitive label formats. College, university, and school data is received periodically from national and state education centers for this service.
- labels or lists of accredited four-year colleges and universities in the United States
- labels or lists for community and junior colleges in the United States
- labels or lists for primary and secondary schools in Illinois, Kentucky, Missouri, and Indiana
Mail Merge
Personalized letters or printed pieces can be done through mail merge. Duplicating will handle the mail merge, inserting, tabbing, and mail preparation for any job needing personalization.
Departments should contact the Duplicating Mail Center prior to the development of the mailing material whether it is printed at Printing Service or copied at Duplicating Service to ensure that the materials meet automation requirements.
